Company A

Company A is a lifestyle management company. They were spending anywhere from 15- 20 hours per week on manual non-billable data collection activities. And they were billing for work at the end of each month after having invested the time. AND they had to remind clients to pay.

Not only were they diluting their income with all that non-billable time, but their billing process limited their cashflow.

We helped Company A as follows:

  • Performed a business analysis to determine how they ran business, what data needed to be collected, and how they were billing their clients
  • Implemented our Essential Elements™ business software for data collection

  • Modified their billing process to bill in advance with blocks and automated renewals

Impact

By adopting a data collection system for business automation, Company A cut their non-billable administrative time to nearly zero which increased the value of their billable time. Their cash flow increased because all their clients (for example, snowbirds owning a second property) paid in advance and were automatically renewed once depleted. Since clients had time on account, they ended up asking for more help (for example, personal concierge services), which translated to increased overall revenue.

Company B

Company B is a manufacturing company that makes shovels. They were losing business to their competitor because the competitor could deliver the same day an order came in but Company B took 3-4 days. Company B came to us to help determine how they could improve their delivery turnaround. As it turned out, Company B made use of a small fastening device that was constantly backordered and late from the vendor. This device holds the head of the shovel onto the handle. 

We helped Company B as follows:

  • Performed a business analysis to determine the cause of long delivery turnarounds
  • Performed a regression analysis to determine yearly usage
  • Projected demand for the next three years
  • Assisted in negotiation with the vendor to fabricate the entire year’s inventory in advance, but only deliver it as needed

Impact

Delivery improved to the same day which resulted in more business. Inventory costs stayed low because he got the vendor to hold the fasteners until needed (it should be noted that they committed to quarterly buys as incentive for the vendor). The vendor had demand they could count on instead of poor forecasting which meant they could better manage their own material procurements. It was a win-win.

Company C

Company C is a food service company that makes bagels. They were losing money because their flour deliveries were always shorter than the manifest. Company C thought their supplier was short changing them and affecting their profit margins.

We helped Company C as follows:

  • Performed a business analysis to determine the root cause of flour weight discrepancies
  • Determined the scale for flour had not been calibrated in more than five years
  • Created a company policy for scale calibration including a frequency

Instituted a metrics program that included scale calibration and accuracy readings

Impact

Their flour discrepancies disappeared and their profit margins soared. Sometimes the simplest problem can be overlooked when you’re too close to the issue. The company policy kept the calibration in the forefront of management’s mind and the metrics program made sure the scale accuracy was properly monitored.

Company D

Company D is a plumbing company. They had an excessively long turnaround for invoicing their clients. It could take anywhere from four to eight weeks to get an invoice out which affected cash flow, client good will and this poor turnaround even affected their profit margins because some clients refused to pay invoices that came so far after the fact.

We helped Company D as follows:

  • Performed a business analysis to determine the root cause of the long turnaround
  • Discovered the owner of the company insisted on signing off on all invoices – this was a holdover from his ‘mom & pop’ days, but now that his company was huge, he was often not in the office as much as he once was, which meant invoices sat for days and weeks at a time.
  • Established a dollar threshold for invoices (nothing less than $5,000 needed an owner sign off)

Impact

Using the management by exception philosophy, most invoices and especially the smaller ones had no issues and therefore did not benefit from an owner review. Setting a threshold means the owner’s attention is only on the higher dollar invoices where mistakes might be made. This means 80% of invoices go out in days rather than weeks which means they are paid faster which in turn improves cash flow. If this company tracks invoice errors for invoices over $5000 and implements the corrective actions to eliminate those errors, then eventually the dollar threshold can be raised.

Company E

Company E is a large company making widgets. This company wanted to implement a new business operating system so they called us to do a business analysis, an ‘as is’ and ‘to be’ recommendations. While we were there, they said the company was spending over $250,000 per MONTH in shipping costs and they wanted to know if we could evaluate their processes to see how we could cut that huge bill down.

We helped Company E as follows:

  • Performed a business analysis including a requirements definition for the proposed new system
  • Created ‘as is/should be’ flow charts (process engineering)
  • Reviewed the settings on their existing system and found that someone had checked the ‘FEDEX’ flag as the preferred shipping method for both incoming and outgoing orders

Assisted with the demos of proposed business software solutions and provided a ‘best fit’ recommendation

Impact

The simple flag change on the shipping method saved this company $200,000 per month recurring in shipping costs. Many of their processes were redesigned leading to increased efficiencies and improved productivity. They did select a business software system and we helped to implement that solution.
